Reminders work best when they help the customer do something useful. Review the information, timing and next step in every message, rather than adding more messages to an already busy inbox.
Start with the essential details
Include the business name, appointment date and time, location and service. For businesses with multiple branches, make the address unambiguous. Add only the preparation instructions that apply to that particular appointment.
Make the next step clear
Explain how to confirm, reschedule or contact the team. Link to your cancellation policy where appropriate and use the same wording on the booking page. Avoid asking customers to reply to a channel your team does not monitor.
Review channels and consent
Use contact details the customer has provided and review the permissions needed for your chosen channels. Keep appointment information separate from promotional content. Confirm channel availability and any messaging costs for your Alyeon setup.
Test before you turn it on
Preview a reminder with a sample appointment. Check the time zone, links and sender details on a phone. Assign someone to handle replies, and revisit the schedule if customers say messages arrive too early or too late.
